2. Information we collect

Information you provide (name, contact details, appointment preferences, medical and treatment history) and information collected automatically (device, browser, pages viewed) where you have consented. We collect the minimum data needed for each purpose (data minimisation).

3. How we use information and our legal bases

To deliver medical and aesthetic services (contract / provision of healthcare), to coordinate appointments and communicate with you (contract or consent), to improve the website (consent), and to meet legal and clinical record-keeping duties (legal obligation). Marketing communications are sent only with your consent and every message includes an unsubscribe link.

4. Protected Health Information (HIPAA)

Aterna Wellness maintains administrative, physical, and technical safeguards for protected health information consistent with HIPAA and the HITECH Act. PHI is never sold, never used for advertising, and is accessible only to authorised clinical and administrative personnel under least-privilege access.

5. Your GDPR / UK GDPR rights

If you are in the EEA or UK you have the right to access, rectify, erase, restrict or object to processing, to data portability, and to withdraw consent at any time without affecting prior lawful processing. We respond within 30 days and never charge for a first request. You may also lodge a complaint with your local supervisory authority. Where data is transferred to the United States, we rely on Standard Contractual Clauses and appropriate supplementary safeguards.

6. California rights (CCPA / CPRA / Unruh)

California residents may request to know, delete, or correct personal information, and may opt out of sale or sharing. We do not sell or share personal information, and we do not use sensitive personal information for purposes beyond providing our services. You will never be discriminated against for exercising these rights, consistent with the Unruh Civil Rights Act.

7. Children's privacy (COPPA)

This website is intended for adults. We do not knowingly collect personal information from children under 13 and we do not direct advertising to children. Where a minor receives care, information is collected from and managed with a parent or legal guardian, with verifiable parental consent. If you believe a child has provided us information, contact us and we will delete it promptly.

8. Student records (FERPA)

Where Aterna Wellness provides services under an agreement with an educational institution, or hosts students, clinical externs or trainees, any education records we access are handled as a school official with a legitimate educational interest under FERPA. Such records are used only for the agreed purpose, are not redisclosed without written consent, and are returned or destroyed when the purpose ends.

9. Sharing

We do not sell your data. We share information only with contracted service providers (booking platform, hosting, payment processing) bound by confidentiality and data-processing agreements, or where required by law.

10. Cookies and tracking

Non-essential cookies run only after you opt in. See our Cookie Policy for categories and retention. You can change your choices at any time.

11. Security and retention

Data is encrypted in transit, access is role-restricted, and we review our safeguards regularly. Medical records are retained for the period required by California law; marketing preferences are retained until you unsubscribe; website consent records are kept for up to 12 months.
